1. Collection and storage of personal data as well as the nature and purpose of their use

When you visit our website www.voss-fluid.net, the browser used on your device automatically sends information to the server on our website. This information is temporarily stored in a so-called log file. The following information is recorded without your intervention and stored until it is automatically deleted:
•  IP address of the requesting computer,
•  date and time of access,
•  name and URL of the retrieved file,
•  website from which access is made (referrer URL),
•  the browser used and, if applicable, the operating system of your computer as well as the name of your access provider.

The mentioned data will be processed by us for the following purposes:
•  ensuring a smooth connection of the website,
•  ensuring comfortable use of our website,
•  evaluation of system security and stability as well as for other administrative purposes.
The legal basis for data processing is Art. 6 para. 1 sentence 1 lit. f GDPR.

a) When registering for our newsletter

If you have expressly consented according to Art. 6 para. 1 sentence 1 a GDPR, we will use your e-mail address to send you our newsletter on a regular basis. To receive the newsletter it is sufficient to provide an e-mail address. You can unsubscribe at any time, for example via a link at the end of each newsletter. Alternatively, you are welcome to send your unsubscription request at any time to marketing@voss-automotive.net by e-mail.

b) When using our contact form

If you have any questions, we offer you the opportunity to contact us using the form provided on the website. It is necessary to provide a valid e-mail address so that we know who sent the request and can respond to it. Further information can be provided voluntarily.

The data will be processed for the purpose of contacting us in accordance with Art. 6 para. 1 sentence 1 lit. a GDPR on the basis of your voluntary consent. The personal data collected by us for the use of the contact form will be automatically deleted after your request has been processed.

c) When using the applicant portal

It is particularly important to VOSS to ensure the highest possible protection of your personal data. All personal data collected and processed within the scope of an application to VOSS is protected against unauthorized access and manipulation by technical and organizational measures. Your data will only be collected for the filling of vacancies in the VOSS Group. Hereby you declare your explicit consent that your applicant data may be passed on to the following companies within the VOSS Group:

If you have expressly consented according to art. 6 para. 1 sentence 1 lit. a GDPR, we use your personal data to process your application in our company and to send you the corresponding messages. Your consent can be revoked at any time. You can send your revocation at any time to info@voss.net by e-mail.

d) When using the Job Agent

We also offer the “Job Agent” function via our applicant portal, which informs you by e-mail about new job offers. If you have expressly consented according to Art. 6 para. 1 sentence 1 a GDPR, we will use your e-mail address to regularly send you the new job offers. An e-mail address is sufficient to receive the Job Agent Newsletter. You can unsubscribe at any time, for example via a link at the end of each newsletter.

Our legitimate interest follows from the purposes listed above for data collection. Under no circumstances do we use the data collected for the purpose of drawing conclusions about you personally. In addition, we use cookies, social media plugins and analysis services when you visit our website. For further explanations, please refer to Sections 7, 8 and 9 of this data protection declaration.

e) Visitor management

We use SharePoint from Microsoft Ireland Operations Ltd, South County Business Park, One Microsoft Place, Carmanhall and Leopardstown, Dublin, D18 P521, Ireland (hereafter: Microsoft) for our visitor management system. Our staff register visitors through the system. The visitor's name, employer and email address are stored. Visitors are notified automatically by e-mail.

The processing of your data is based on a legitimate interest according to Art. 6 para. 1 p. 1 lit. a) GDPR. We have use the system to efficiently implement visitor management to prevent unauthorised access to our information by third parties.

The information is also transferred to Microsoft. We have concluded an order processing agreement with the service provider. When using the tool, a transfer of data to the USA cannot be ruled out. Therefore, we have concluded the standard contractual clauses with the service provider to ensure an appropriate level of protection for your data.

We store the name and confirmation of the instruction for 2 years.

The provision of your personal data for this purpose is necessary to allow you to visit our factory premises. Should you object to the use for this purpose, we are unfortunately unable to grant you access to our factory premises.

2. Data security

We use the most common SSL (Secure Socket Layer) method in connection with the highest level of encryption supported by your browser. Usually this is a 256 bit encryption. If your browser does not support 256-bit encryption, we use 128-bit v3 technology instead. You can tell whether a single page of our website is transmitted in encrypted form by the closed display of the key or lock symbol in the lower status bar of your browser. We also use suitable technical and organizational security measures to protect your data against accidental or intentional manipulation, partial or complete loss, destruction or unauthorized access by third parties. Our security measures are continuously improved in line with technological developments.

3. Rights of the persons concerned

You have the right:

•  to request information about your personal data processed by us in accordance with Art. 15 GDPR. In particular, you may request information about the purposes of processing, the category of personal data, the categories of recipients to whom your data have been or will be disclosed, the planned storage period, the existence of a right to rectification, deletion, restriction of processing or objection, the existence of a right of appeal, the origin of your data, if these were not collected by us, and the existence of automated decision-making including profiling and, if applicable, meaningful information on their details;

•  in accordance with Art. 16 GDPR, to demand without delay the correction of incorrect or complete personal data stored by us;

•  to request the deletion of your personal data stored with us in accordance with Art. 17 GDPR, unless the processing is necessary to exercise the right to freedom of expression and information, to fulfil a legal obligation, for reasons of public interest or to assert, exercise or defend legal claims;

•  in accordance with Art. 18 GDPR, to restrict the processing of your personal data if you dispute the accuracy of the data, if the processing is unlawful but you refuse to delete the data and we no longer need the data, but if you need it to assert, exercise or defend legal claims or if you have filed an objection to the processing in accordance with Art. 21 GDPR;

•  in accordance with Art. 20 GDPR, to receive your personal data that you have provided to us in a structured, current and machine-readable format or to request its transfer to another person responsible;

•  in accordance with Art. 7 para. 3 GDPR, to revoke your consent to us at any time. As a result, we are no longer allowed to continue processing data based on this consent in the future and

•  to complain to a supervisory authority pursuant to Art. 77 GDPR. As a rule, you can contact the supervisory authority of your usual place of residence or work or our company headquarters.

4. Right of objection

If your personal data are processed on the basis of legitimate interests pursuant to Art. 6 para. 1 sentence 1 letter f GDPR, you have the right to object to the processing of your personal data pursuant to Art. 21 GDPR, provided that there are reasons for this which arise from your particular situation or the objection is directed against direct advertising. In the latter case, you have a general right of objection, which we will implement without specifying a particular situation. 5. Shipping to third countries

Data are transmitted to third countries exclusively in accordance with legal regulations. 
As far as we fulfil our contract with you, data will be made available to third parties. Appropriate guarantees pursuant to Art. 46 GDPR or an appropriateness resolution pursuant to Art. 45 GDPR are not required.

If you do not give your consent to the data transmission, the data transmission does not serve the fulfilment of the contract or the transmission is necessary to assert, exercise or defend legal claims, the data will only be transmitted by us if suitable guarantees or an appropriateness decision is available. 
A suitable guarantee exists if the EU standard data protection clauses issued by the EU Commission have been completed or if certification by means of a “Privacy Shield” is available.

The legal basis is Art. 45 and 46 GDPR.

7. Cookies

We use cookies on our site. These are small files that your browser automatically creates and that are stored on your device (laptop, tablet, smartphone, etc.) when you visit our site. The underlying advertising purpose is to be regarded as a legitimate interest within the meaning of the GDPR. Responsibility for data protection-compliant operation must be guaranteed by the respective provider. The integration of these plug-ins by us takes place in the way of the so-called two-click method, in order to protect visitors of our web page in the best possible way.

Our website uses social media plug-ins from Xing to personalize their use. For this we use the “Xing” button. This is an offer from Xing. Google Signals

We use Google Signals. Whenever you visit our website, Google Analytics records, among other things, your location, the progression of your search and YouTube progression as well as demographic data (site visitor data). This data may be used for customized advertising with the assistance of Google Signal. If you have a Google account, your site visitor information will be linked to your Google account by Google Signal and used to send you customized promotional messages. The data is also used to compile anonymized statistics of our users’ online patterns.

Contract data processing

We have executed a contract data processing agreement with Google and are implementing the stringent provisions of the German data protection agencies to the fullest when using Google Analytics.

b) Google reCaptcha

To ensure that actions are performed by a natural person and not a programmed bot, we use the reCaptcha service of Google LLC (1600 Amphitheatre Parkway, Mountain View, CA 94043, USA; hereinafter “Google”).

In this context, abuses and manipulations (e.g. automatic and automated processing) on the Internet are checked on the basis of text distortions or other input fields that cannot be easily read or answered by a machine. For this purpose, data is transferred to a Google server in the USA and stored there; it is not stored on our own server. By activating IP anonymization (done by manual adaptation) on our website, your IP address will be shortened by Google within member states of the European Union or in other signatory states to the European Economic Area Agreement. Only in certain exceptional cases is the complete IP address transmitted to the server in the USA. On our behalf, Google will use the information obtained to evaluate the use of these services and, if the data storage is deactivated, to store it for a maximum period of 14 months in accordance with the GDPR. The transmitted IP address of your browser is not merged with other Google data within the scope of reCaptcha.

c) Leadinfo

We use the lead generation service provided by Leadinfo B.V., Rotterdam, The Netherlands, which recognizes
visits of companies to our website based on IP-addresses and shows us related publicly available information,
such as company names or addresses. In addition, Leadinfo places two first-party cookies for providing
transparency on how our visitors use our website and the tool processes domains from provided form inputs
(e.g. “leadinfo.com”) to correlate IP addresses with companies and to enhance its services. For additional
